Virtual Dcor is Newest Trend for Meeting Programs

ATLANTA, Ga."March 14, 2008"Meeting experts at The Ritz-Carlton, Atlanta have found a creative way to extend dcor budgets for planners holding their program at the hotel. While dcor is usually not a big line item on most budgets, the need to create an impact for the all"important reception the evening before the official start of the conference is very real. As well, the awards banquet at the end of the program will ideally be memorable long after the attendees return home.

Creating Virtual Dcor with Light is Newest Trend
Light is the hottest design element, and is used to maximum effect to add color, motion and shape for receptions and banquets. Ambient, task and accent lighting is replacing three-dimensional dcor, and offers a strong ROI when looking at cost versus impact. Some exciting ways light is used to add vitality and create virtual dcor for functions are:

Have the company logo and conference theme sweep across the walls at the opening reception
Create a vibrant welcome at the ballroom entrance with spotlights, color or a special design
Use light to create a wallpaper of color adding dimension to walls
Shine an oversized company logo in light on the floor at the room entrance

The beauty of light is that you can use as much or as little as you wish. said Amanda Joiner area director of marketing for The Ritz-Carlton, Atlanta. For some planners a little goes a long way. For others, more is better and over-the-top is best.

Other elements that add zip to programs:

Saturated Colors
Research shows that color influences mood, so planners use bright colors in energize the meeting. Instead of pastel shades that fade into the background, pops of bright color keep attendees engaged.

The Family-Styled First Course
Antipasto platters, marinated olives in stylish ceramics and imported cheeses on bright serving pieces are placed on the table family-styled, replacing the salad course at luncheons and adding a sense of anticipation for dining for dinner. Serving pieces in interesting shapes and bright colors become table dcor, lessening the need for an arrangement at the center of the table.

Special Coffee To Go on Departure Day
Sturdy paper coffee cups and lids personalized with the company logo are offered with a selection of coffees, flavored sugars and creams so company associates may prepare a customized coffee to go, and help themselves to tiny snacks"from biscotti to miniature bagels with cream cheese"to enjoy as they travel home.

When presented as surprise on departure day, this gesture of hospitality is always remembered fondly by the attendees, said Ms. Joiner. Its just one more way to show attendees that they are valued and that the company has thought through every detail.
